Ineffective communication is a major, yet avoidable, obstacle to business productivity. And yes, it can be avoided. Given the will, the bleakest of situations can be turned around for the better.

Management must face squarely the challenge of formulating strategies to encourage personnel to communicate effectively.

On the other hand, managers themselves have to set the example. They need to realize that successful communication is no one-way process.

On the contrary, repricocity is the essence of communication. This applies whether the process is conducted verbally or through the medium of the written word.

Managers are human beings involved with other human beings. They are far more than givers of information or instructions. Communication is as much a matter of human relationships as it as about transmitting facts.

To communicate successfully managers and supervisors have to understand the other person, and have to work hard to get the other person to understand them.

Before we go further, consider these two versions of an imaginary conversation between the CEO of a small company and his work supervisor. They will give us some insight into the pitfalls, and help us to avoid them.

FIRST SCENARIO

The CEO, Mr Richardson, pages Mr Smith, the work supervisor, to come to his office. When Mr Smith walks in a minute or two later, the CEO is busy with what appears to be an unexpected but very important telephone conversation. In due course, he replaces the receiver, but his mind, clearly, is still very much on what he had just heard.

"Hi Mr Smith. Please sit down. This is why I called you: at the moment, we have an official lunch break lasting one hour. As from the first of next month, I want to reduce this lunch break to 30 minutes only, and bring the afternoon quitting time forward by a half-hour. No doubt, the staff will appreciate the opportunity to get home earlier. Will you please inform everyone concerned? Thanks for your time."

Mr Richardson begins to examine some papers on his desk and waves with his hand to indicate that he has nothing further to tell the supervisor.

The supervisor, in turn, opens his mouth as if starting to say something, but thinks better of it and all he utters is a weak "OK, Mr Richardson."

Mr Smith exits.

SECOND SCENARIO

The CEO calls his supervisor into his office. He is on the telephone when Mr Smith arrives.

"Good morning Mr Smith" he whispers courteously, after excusing himself momentarily to the person on the line. "Take a seat, won't you? I shouldn't be long."

"Thanks for your patience," the CEO adds after putting down the phone a couple of minutes later. "That was our landlord. He dropped quite a bombshell. They have sold this building, which means we will have to be out of here in a few months. Oh, well. Maybe it's a blessing in disguise; we're rather cramped in these premises, aren't we?"

"Yes, Mr Richardson - but I hope we find another place in time."

"Hopefully, everything will work out. How are things by you? I hope no one is aggravating you too much. Now, this is why I called you: two or three people have come to me with the suggestion that we shorten the lunch break, so that everyone can knock off earlier. What do you think?"

"Well, personally I'd welcome the change, and I know that some of the office people would think the same way. On the other hand, many of our workers do a lot of shopping during the lunch hour at the big mall over the road. They might need a full hour for this, and after work might not be so convenient... Maybe I should canvass everybody and come back to you with a consensus.. We're pretty busy right now...Can I attend to it next week and come back to you?"

"Excellent. I know there's a lot of pressure now. Keep me in touch and let me know how I can ease matters...Oh, I almost forgot - Kate told me yesterday that your son has decided to tie the marital bond. Hearty congratulations! Who's the lucky guy?"

"Thanks. His name's Jeff Black. I think you play golf with his father."

"Sure do. A lovely family. My warmest wishes to them both..."

Doubtlessly, you feel that the Mr Richardson of Scenario One has quite a lot to learn.

Firstly, he has declined - to his peril - to give his full attention to the task at hand. Secondly, he is probably still under the subconscious influence of an educational system that expects the teacher or lecturer to pronounce, and expects the unfortunate students to listen or take notes. Now that he is in a management position, he has instinctively assumed the role of a teacher who knows just about everything, and expects others to passively imbibe his knowledge.

The vital four steps in effective communication might well help people like this Mr Richardson to correct this distorted view of the communication process. Some call them the four A's of communication. We can only discuss them very briefly here, although each of these four is worth an essay on its own.

ATTENTION

Winning the attention of the person with whom we wish to communicate, is an obvious first step. In order to achieve this goal, we must first try to eliminate - as far as is humanly possible - what experts in this field call "noise". This includes everything that distracts, be it noise in the literal sense, physical or emotional discomfort, personal problems, negative attitudes, or distracting mannerisms or dress.

Respect for the other person is an important prerequisite for attention getting. The human greeting, or inquiry about the other person's health or personal circumstances, is an effective catalyst in this process. To be sure, if such introductions are false or stereotyped they might serve little purpose. Real empathy on the other hand, all the more so in downward communication from superior to subordinate, leads quickly to the second step in the process.

APPREHENSION

Although this word usually carries the connotation of "fear", its primary meaning is "understanding". We have preferred the term "apprehension" here primarily to retain the mnemonic of "four A's" Its two meanings, however, are related; they are two sides of one coin. The task of the communicator is to change the aspect of "fear" into that of "understanding".

Achieving apprehension is a critical part of the communication process, but it is a very subtle one also. Managers sometimes defend their inability to communicate by asking, "Do you understand?" This is usually an unfair question, and even the somewhat improved "What do you understand?" is often perceived as a threat.

On the other hand, if there is the right relationship between the transmitter and the receiver of a message, indirect ways of establishing the degree of understanding will present themselves. As Version Two above illustrates, encouraging a free flow of input from the receiver is the best way of ensuring that understanding has been achieved.

ASSIMILATION

As crucial as is the function of apprehension (in its positive sense as we defined it,) it is not enough. Often, a person has understood a message perfectly, but he or she has not accepted it. Alternatively, it is accepted in a half-hearted manner, without any conviction. Communication is still incomplete if he has not assimilated the information into his own being.

The initiator has achieved an ideal result if the recipient has assimilated the message to the extent that he becomes one with the sender, as it were. Assimilation of a concept presented by management, or by another worker, goes a long way towards ensuring active participation, and harmonious cooperation, in the workplace.

ACTION

This is the final step in our communication process. It is that ingredient which propels abstract or theoretical knowledge into the world of reality. So often a good idea in business (no less than in other spheres) meets with facile acceptance or agreement, but is not translated into action.

If assimilation has indeed taken place, action on the part of the receiver should follow inevitably. But what we have said about the two-sided nature of communication applies here as well. The originator of the message must play his part, too, with abundant support and encouragement.

The purchase of the OxyHeal 5000 Series rectangular multiplace hyperbaric chamber is part of a multimillion dollar project financed by the Government of Québec. It will be part of a new hyperbaric department being built especially for that purpose. With the introduction of this state-of-the-art system to the CHAU Hôtel Dieu de Lévis, this hospital will be able to fill their mandate to administer an advanced hyperbaric oxygen treatment (HBOT) capability to serve a population of about 2 million people, which represent the population distributed over a territory of about half the province of Québec.

When this project is completed, the CHAU Hôtel-Dieu de Lévis will house the largest hyperbaric medicine department in Canada. The chamber will be located immediately above the newly completed Emergency Department, providing residents of the province of Québec with unparalleled emergency access to hyperbaric medical treatment capabilities.

Measuring forty-five feet (13.7 meters) in length, the state-of-the-art OxyHeal 5000 rectangular multiplace hyperbaric chamber system will be the largest such system in the country and the first rectangular triple-compartment, hyperbaric chamber system to be placed into service in Canada. One compartment will be capable of providing emergency HBO treatments to patients, while routine treatment activities for up to twelve (12) patients can continue independently in the main compartment. This will clearly place the CHAU Hôtel-Dieu de Lévis in a prominent worldwide leadership position in the field of hyperbaric medicine.

When garlic mustard (Alliaria petiolata) was brought to North America from Europe more than a century ago, no one predicted it would carpet thousands of acres of forestland, choke out native plants and even disrupt the development of a rare native butterfly, Pieris napi oleracea.

But now scientists are using an innovative computer program to find the perfect predator for garlic mustard and regain the upper hand.

"In its native habitat in Europe, garlic mustard has natural predators -- small weevils that feed on the plant during several stages of its growth," said Dr. Adam Davis, an ecologist with the University of Illinois and researcher with the USDA Invasive Weed Management Unit. "One way to control garlic mustard is to introduce a similar predator here in the U. S."

Why use an insect for weed control? With garlic mustard, there are few other options. Since the invasive plant grows across vast forest regions, it is virtually impossible to manage by hand-pulling or with herbicides. In addition, a single garlic mustard plant can produce nearly 8,000 seeds, which are tracked and spread by deer and are especially long-lived in the soil. That means it can take a decade or more of weed management to do the job, even if an infestation is limited in scope.

Though the use of insects to control weeds is not new, to date it has relied on a degree of trial and error. And in some instances, the insects used have become invasive pests themselves - destroying unintended species.

Davis and fellow researchers at Michigan State, Cornell and the Commonwealth Institute of Biological Control in Switzerland have developed an innovative new computer model that reduces the risk of choosing the wrong insect. The model simulates a weed's growth, records the stresses it encounters in the environment and helps to evaluate the impact of various natural predators.

"By determining in advance which insect will produce the best control, we reduce any risk to our natural ecosystems," Davis said.

His computer simulation shows that a tiny weevil (Ceutorhynchus scrobicollis) is the best control agent for garlic mustard since it feeds on the plant at several stages in its lifecycle.
Ceutorhynchus scrobicollis weevils are now in quarantine at the University of Minnesota, where a battery of tests has determined they are unlikely to threaten other plants. Pending approval by the USDA, they soon will be bred and released into garlic mustard-infested forests nationwide.

"The computer model developed for garlic mustard is a great example of how weed ecologists can turn the tables on an invasive plant like garlic mustard," said Lee Van Wychen, director of science policy for the Weed Science Society of America. "Similar techniques may help us predict the perfect predator for other invasive weeds and expand our repertoire of safe and effective weed management options."

Garlic Mustard Control Tips for Home Gardeners:

While Ceutorhynchus scrobicollis weevils are perfect for the control of garlic mustard in forestlands, home gardeners with smaller infestations have other options. Try these tips from Dr. Adam Davis, an ecologist with the USDA Agricultural Research Service Invasive Weed Management Unit and assistant professor of crop sciences at the University of Illinois:

If you have small patches of garlic mustard, try pulling them by hand. But make certain to remove the roots. If you don't, the plants may become more competitive than ever.

Use a string trimmer to cut back garlic mustard before it goes to seed. That will help you to contain its spread.

If you have patches of garlic mustard that are too large to manage by hand or by trimmer, spray them with the herbicide 2,4-D just after the seedlings emerge in the spring. Since garlic mustard comes up early, spraying as soon as the weed sprouts makes it less likely that you will damage native plants.

Regardless of the control measure you use, remember to repeat the process annually until the garlic mustard no longer grows back.

"To keep garlic mustard from taking over, it's important to catch it early," Davis said. "So get acquainted with the native species in your area and ask local extension agents to help you identify new plants you don't know."

Napa New Technology High School played host to more than 40 education stakeholders -- including teachers, parents, business leaders and superintendents -- during a more than three-hour public hearing on education and technology. Attendees were eager to learn more about the success of the New Tech approach.

The hearing was chaired by California Assemblymember Tom Torlakson, who has sponsored and authored legislation to provide students with the digital technology skills needed to succeed in the global economy.

“We must continue to capture the imagination of our students and cultivate their scientific and technical talents by embracing technology and bringing the development of these skills into our classroom,” said Torlakson, a long-time science and math teacher. “Napa New Technology High School serves as a model for teaching critical - thinking and digital-literacy skills necessary for students to be competitive in college and in the job market.”

Napa New Tech High School (http://www. newtechhigh. org) is one of 40 schools that are part of the New Tech Network (http://www. newtechnetwork. org), which supports the start-up and implementation of innovative high schools marked by project-based learning in a technology-rich environment. http//:KnowledgeWorks, which develops and implements effective approaches to high school education in the United States, integrated New Tech into its organization in 2009.

Former America Online Chairman and CEO Barry Schuler, a KnowledgeWorks board member who was an early supporter of Napa New Tech High School, said the Napa community inspired a national model when it founded the school in 1996. “Little did they (the community) know they were lighting a spark. The little spark that started in the community of Napa is spreading like wildfire across the country,” he said.

New Tech High schools are currently in nine states, and plans call for the rapid expansion of the approach over the next five years.

Napa New Tech High Principal Howard Mahoney testified about the importance of the culture of trust, respect and responsibility, but noted that his students were the best representatives of the school.

Several of his students at the event confirmed Mahoney’s sentiment, including Aitana Rothfeld, a senior, who transferred to Napa New Tech from a larger, traditional high school. “I was surprised by the trust teachers gave me, it was a big shock,” she said. “The teacher is a resource, but I have to learn. I feel like I learn more here. My old school was ‘do the homework, take the test.’ Here, you have to learn.”

Torlakson, who has announced his candidacy for state superintendent of public instruction, said he wants to make education technology a priority in California’s schools by establishing standards to utilize state-of-the-art learning materials, teaching computer literacy, providing professional development to teachers and connecting our classrooms to the world.

~ Sexual Expression as a Predictor of General Health. Scores on self-reporting indexes of sexual drive and performance consistently correlate with life satisfaction. This is accompanied by a parallel rise in the overall quality of life in the last year of life of men and women age 65 to 84 as measured by a Loyola University Stritch School of Medicine study published in January 2000.

~ Senior Friskiness. A Roper Starch Worldwide Survey of 1300 Americans aged 60 and older reported that 48% engage in sexual activity at least once a month. Four of every ten seniors want to have sex more frequently than they currently do.

~ Sex Combats Colds and Flu. A Wilkes University (Pennsylvania) study of college students reports that engaging in sex once a week boosts the immune systems and helps avoid falling victim to the cold and flu season.

~ The Loving Nag. In August 2000, researchers at the University of Michigan reported that men who are nagged by their wives live longer. Women who did not work more than 40 hours a week were found to be more involved in their husband's lives. The health of husbands dropped 25% in couples where the wives worked 40 hours a week or more.

~ Husbands as a Hindrance. Investigators at the University of Maryland found that women age 65+ who were living independently (without a husband or another person) at the outset of the two-year study fared far better in activities of daily living than counterparts with co-habitants. The team proposed that the physical and psychological demands of living alone are beneficial and lessen the deterioration of functional health in women.

~ Trust. Researchers from Duke University Medical Center (North Carolina) found a connection between trust, self-rated health, and life satisfaction. Following study subjects for fourteen years, interviews determined that men and women with high levels of trust live longer that those who did not have a similar confidence.

It is important for men and women to continue their expressions of sexual and affectional needs and desires throughout their relationship. Doing so can enhance feelings of sharing, mutuality, and joint concern over each other's well-being, as well as provide strength and inspiration to the both the sender and the recipient. Says Dr. Klatz, "For the older individual, love, affection, and sexual expression are direct affirmations of one's total being. The efforts we make on Valentine's Day should be continued year-round. How well, and perhaps how long, we live depends on it."
